Your Move Conveyancing is a growing, technology-focused conveyancing firm helping clients across NSW navigate the sale and purchase of property.
We pride ourselves on providing a clear, supportive and efficient experience from the moment a client first contacts us. We are now looking for an organised and confident Onboarding & Sales Administrator to join our team.
About the Role
The Onboarding & Sales Administrator is the first point of contact for many of our new clients and referral partners.
You will manage new enquiries, prepare service proposals, follow up prospective clients and assist with opening new conveyancing matters. You will also support YMC’s Anti-Money Laundering and Counter-Terrorism Financing (AML/CTF) onboarding process by issuing compliance requests, monitoring outstanding requirements and completing client follow-ups.
Previous experience in professional services, property, legal administration, finance or a client-focused office environment would be highly regarded, but conveyancing experience is not required.
Full training will be provided.
What You’ll Be Doing
- Answering new client enquiries by phone, email and website
- Understanding the client’s requirements and explaining YMC’s services and fees
- Creating and maintaining leads and deals in Zoho CRM
- Preparing and sending service proposals and client questionnaires
- Following up prospective clients and recording outcomes
- Opening new matters in triConvey
- Checking client, property, referral and fee information for accuracy
- Issuing AML/CTF verification and onboarding requests
- Monitoring outstanding AML/CTF requirements and completing scheduled client follow-ups
- Recording AML/CTF contact attempts, outstanding items and next actions
- Preparing complete matter handovers for the assigned conveyancer
- Processing payments for urgent contract reviews
- Assisting with incoming calls, messages, mail and general administration
- Monitoring stationery, kitchen and office supplies and placing approved orders
- Helping keep reception, meeting rooms, the kitchen and shared office areas tidy and presentable
About You
You do not need to have worked in conveyancing before. We are looking for someone who is motivated, organised and comfortable working with clients.
You will ideally have:
- Some experience in administration, customer service, reception or sales support
- Strong written and verbal communication skills
- A warm and confident phone manner
- Good attention to detail and accurate data-entry skills
- The ability to manage follow-ups and keep track of multiple tasks
- Confidence using Microsoft Outlook, Word and other office systems
- A willingness to learn new software and processes
- Good judgement and the confidence to ask questions or escalate concerns
- A reliable and proactive approach to work
- The ability to handle confidential client information appropriately
- An interest in property, conveyancing or professional services
Experience in a legal, accounting, finance, mortgage broking, real estate or other professional services environment would be an advantage.
